Research Peptide Shipment Intake Checklist: What Laboratories Should Record
A research peptide shipment intake record should connect what was ordered to what arrived: supplier, product name, labeled format, lot number, package condition, document version, receipt time, storage source, and any discrepancy. The goal is a reconstructable record—not an assumption that delivery alone establishes quality.
Quick answer: what belongs in a shipment intake record?
Record the order reference, supplier, receipt date and time, receiver, package and container condition, exact label text, lot or batch number, quantity or format, accompanying documents, report identifiers, stated storage source, initial disposition, and every unresolved mismatch. Preserve the original evidence instead of transcribing only the fields that look important.
Before receipt: preserve the purchasing context
Save enough information to identify what the laboratory intended to purchase. That typically includes the product URL or catalog reference, product name, selected format, order number, order date, and the documentation available at the time of review.
This baseline matters when a listing, certificate, or availability status changes later. The record should distinguish the source viewed before ordering from any document supplied with the shipment.
At receipt: document observable facts
Record what can be observed without turning inspection into an analytical conclusion. Note the delivery date and time, receiver, number of containers, exterior package condition, closure condition, label legibility, and any visible damage or discrepancy. Photographs may supplement the written record when permitted by laboratory policy.
Do not translate “arrived intact” into “identity confirmed,” “sterile,” or “within specification.” Receipt condition and analytical status are separate records.
Transcribe the label exactly
Capture the complete material name, labeled format or quantity, lot or batch number, catalog code, supplier, and any stated research-use or storage language. Preserve punctuation and suffixes that distinguish similar products, strengths, or lots.
If the label omits a field expected by the laboratory’s procedure, record the omission. Do not fill it from memory or borrow it from a different listing.
Match documents field by field
Compare the physical label with the certificate, analytical report, packing record, and product listing. The material name, format, lot, and report or sample identifiers should form one coherent chain. A close match is not an exact match.
Record analytical documents without overreading them
For each report, identify the measured attribute, method, result, units, date, and stated limitation. Keep identity, chromatographic purity, content, sterility, endotoxin, and other attributes separate. The presence of one does not populate the others.
Preserve the complete report. A screenshot of a summary value may omit method information, page numbers, signatures, amendments, or qualifiers needed to understand the record.
Use the stated source for storage information
Document where each storage condition came from: the physical label, a lot-matched certificate, safety documentation, or another authorized source. If sources conflict, record the conflict and hold the material under the laboratory’s established process until it is resolved.

Handle discrepancies as records, not inconveniences
A mismatch should create a visible issue record. Describe the field, preserve both versions, record who was contacted, and document the resolution or current hold status. Do not silently edit the intake sheet to make the records agree.
FDA data-integrity guidance uses the ALCOA model—attributable, legible, contemporaneously recorded, original or a true copy, and accurate—within a CGMP context. This checklist does not claim that context applies to every research laboratory, but the principles provide a useful test for whether an intake record can be trusted later.
After intake: maintain continuity
Record the assigned storage location, transfers, container openings, new working-sample identifiers, observed excursions, and final disposition according to the laboratory’s procedures. Keep later events connected to the original lot and receipt record.
A complete intake record cannot prove every property of the material. It can show what arrived, what evidence accompanied it, what was checked, what remained unresolved, and who made each documented decision.
The practical takeaway
Good intake documentation preserves the chain from order to container to report. Capture facts at the time they are observed, match identifiers exactly, retain original records, and make discrepancies visible. That creates a durable foundation for the laboratory’s own acceptance and study controls.
